What Size Office Space Will Your Company Need?

Number of employees

By far the biggest factor is simply the number of people that you currently have employed, or the number that you expect to have working for you by the time that you move into your new premises. As a rule of thumb HSE recommends a minimum volume of 11 cubic metres per employee; this is based on a 3m high ceiling, so works out at around 3.67 square metres or just under 40 sq ft of floor space. Be sure to do the math before you commit to a space – the worst case scenario is a cramped room!


However, that allowance doesn’t take into account furniture and other items. So, while a 10,000 sq ft suite may sound like more than enough for 250 employees, in reality that would mean seating them in small cubicles in one huge open plan environment, which you’re unlikely to do as it would be a huge morale killer. You need to include corridor space, meeting rooms, larger offices for managers (if needed), breakout areas and other communal areas in your calculations to ensure that you have enough space to create the working environment that you want. As much as 40% of your floor space could need to be given over to uses other than seating your staff, so don’t be surprised to be asking for way more space than you initially expected to need.



Also take into account any office space you may use for production, packing or quality control if you’re a company that deals in physical items and stock. This will also take up space, often more than you first come to realise, and may require more space per employee than you would if they were simply working at a desk on admin duties. You should also consider whether you want your offices next to the workshop, or in a purpose built office block away from that action so that there is a boundary between production teams and admin teams.
